Account Executive (Fully Remote)

SUMMARY:

The Account Executive (AE) is responsible for generating new revenue, maintaining and growing existing revenue, while providing best-in-class customer service and building strong client relations. The AE will be selling global litigation services to law firms both locally and nationally, while also acting as a liaison between clients and PD’s internal operations teams. This requires a candidate who is a self-starter, results orientated, motivated professional with a sense of urgency and a Make It Happen attitude.

ACCOUNT EXECUTIVE ESSENTIAL FUNCTIONS:

  • Service existing accounts through a relationship-based approach
  • Establish new account revenue through researching and identifying potential leads, soliciting new law firms, building rapport, providing education and information around PD offerings
  • Drive sales activity to achieve monthly and quarterly revenue goals
  • Engage in technical discussions with potential clients through demonstrations and presentations
  • Collaborate internally with sales team, sales management, and marketing
  • Provide all clients with superior customer service
  • Participate (in person or virtually) in association functions, client visits, lunch and learns, demonstrations, and any other client activities as necessary
  • Daily usage of company provided CRM to track activity and customer follow up
  • Work collaboratively with all operations teams to ensure customer satisfaction

 

ACCOUNT EXECUTIVE QUALIFICATIONS:
  • Previous experience selling court reporting services or other services to the legal industry is paramount
  • Established legal client book of business is highly desirable
  • Demonstrated success in sales, negotiation, communication, and providing superior customer service in a fast-paced business environment
  • Should be skilled in problem solving, possess excellent written and verbal communication skills, have a Make It Happen attitude, and thrive working both independently and within a collaborative team environment
  • Bachelor’s Degree preferred

A Digital Court Reporter is required to be present in depositions in which an attorney desires to have the deponent’s testimony captured via audio or video.  They are responsible for setting up the audio and video equipment and recording the deposition, and have an understanding of the digital recording system and its maintenance, upkeep, and operation.  Digital Court Reporters are also responsible for taking down notes during the proceedings and creating a log note of speaker identification and keywords, which serve as a general outline of the digital recording.

Treasury Manager (Fully Remote)
ESSENTIAL FUNCTIONS:
As a Treasury Manager at Planet Depos, you will play a pivotal role in ensuring the efficient management of our financial assets. Your key responsibilities will include:
 
Cash Flow Management:
  • Develop and execute budgeting and forecasting strategies, providing insightful reports on cash variances.
  • Advise on actionable measures to enhance our cash position, contributing to financial stability and growth.
Liquidity Management:
  • Maximize Cash Conversion Cycle, Days Sales Outstanding (DSO), and Days Payables Outstanding (DPO) to optimize liquidity.
Cash Flow Forecasting:
  • Utilize your forecasting expertise to provide accurate short-term and long-term cash projections, enabling strategic decision-making.
Bank Covenant Requirements:
  • Collaborate with the VP of Finance to prepare and review bank covenant requirements, ensuring compliance and alignment.
AP Payment Processing:
  • Responsible for outbound payments (checks, ACH, wires), managing both Trade AP and Ops AP, and ensuring timely and accurate processing.
Bank Account Management and Reconciliation:
  • Maintain bank account activities and reconcile statements to ensure accuracy and financial integrity.
Internal Controls:
  • Partner with the Controller and VP of Finance to establish and document robust internal controls related to Cash/Treasury operations, promoting security and efficiency.
Credit Card Program Ownership:
  • Set limits, administer credit cards, reconcile accounts, and develop/implement credit card policies.
  • Creating efficient credit card review and reconciliation process
Integration and Auditing:
  • Integrate various systems and software to ensure seamless financial operations and audit readiness.
  • Audit bi-weekly and monthly payroll reports, verifying compensation changes and appropriateness.
Accounts Receivable (AR) and Credit Management:
  • Accountability for our AR function, contributing to a streamlined and effective process.
  • Lead current Accounts Receivable Team focusing on cash collection and cash application.
  • Oversee client credit management, ensuring prudent risk assessment and adherence to credit policies.
Other:
  • Provide backup to other financial teams and other/ad-hoc duties and responsibilities that are consistent with the Finance and Accounting Team
COMPENSATION:
$90,000 – $100,000 / annually
 
QUALIFICATIONS:
  • Bachelor’s degree in Accounting/Finance/Business with a minimum of 5 years of relevant experience.
  • Proficiency in MS Office applications, particularly Excel.
  • Competence in QuickBooks Online.
  • Strong business writing, oral communication, and interpersonal skills.
  • Demonstrated ability to lead projects within a multidisciplinary team.
  • Hands-on approach, with a track record of operational involvement.
 
Domestic Scheduling Coordinator (Fully Remote)

Domestic Scheduling Coordinator (Fully Remote)

The Domestic Scheduling Coordinator coordinates the deposition scheduling process for clients taking depositions in the U.S. and Canada. This customer-service position revolves around providing impeccable customer service from the initial request through delivery and requires poise and professionalism in handling last-minute needs. Great attention to detail, great problem-solving skills, and a positive, “can-do” attitude are essential.

DOMESTIC SCHEDULING COORDINATOR ESSENTIAL FUNCTIONS:

  • Promptly responds to client questions and service requests via email and/or phone.
  • Monitors Scheduling email folder throughout shift.
  • Reserves conference rooms and meeting locations for clients.
  • Works with the Calendar department to assign resources for legal proceedings.
  • Enters data into legal support software (Reporter Base) with high accuracy.
  • Sends confirmations to clients and resources via email.
  • Communicates clearly to ensure the correct services requested by clients are set up.
  • Pays close attention to job details and performs quality control checks on the work of team members. 
  • Communicates important job details to other departments, and within the Scheduling department, as needed.
  • Facilitates electronic exhibit sharing for clients and resources on remote/virtual depositions.

International Scheduling Case Manager (Fully Remote)

he International Scheduling Case Manager coordinates the deposition scheduling process for complex cases involving Fortune 500 companies. The case manager establishes new and existing client relationships by demonstrating company expertise, responding to inquiries via telephone and email, documenting actions, and taking care of all logistical arrangements for the benefit of the client.

This position revolves around providing impeccable customer service from the initial request for services through delivery, and also requires poise and professionalism in handling last-minute needs.

INTERNATIONAL SCHEDULING CASE MANAGER ESSENTIAL FUNCTIONS:

  • Responds to client inquiries by carefully listening to the needs of the client, gathering and researching information, and responding professionally and personably.
  • Establishes rapport with clients, court reporters, videographers, interpreters and domestic and overseas vendors by demonstrating expertise, empathy, and a “can-do” attitude.
  • Researches International laws and regulations regarding taking depositions. Routinely updates job knowledge by conducting case research, court filings, and industry trends.
  • Communicates important client information and client needs to other departments as necessary (including but not limited to the sales, production, billing, etc.).
  • Prepares and presents agreements and rate sheets and makes recommendations based on client needs.
  • Creates and maintains computer files and to-do tasks to ensure fulfillment of time-sensitive client requirements.
  • Monitors International Scheduling email folder throughout the day and answers phones.
  • Enters data into legal support software (Reporter Base).
  • Assists Marketing with monthly newsletters and annual updates to the International Deposition Guide.
  • Completes credit card reconciliations and reports for job related expenses
  • Updates internal manuals, templates and processes as needed
  • Other duties as assigned.
